Day of Presentation Instructions for Speakers
All speakers are required to submit their “Speaker Submission Form” by September 30, 2023.
Congratulations again on your accepted presentation at ICCAD!
Here is some information about your speaker preparation, including your poster preparation. It is a bit long, but please read them carefully.
All speakers, please find your assigned session slots on the conference website. Please check the program at https://2023.iccad.com/2023-program-at-a-glance). For technical sessions (including special sessions), you will be assigned to either a 2-hour session (with five talks) or a 1.5-hour session (with four talks).
Each technical presentation will be given 20 minutes for presentation (with 15 minutes for the talk and 5 minutes for questions and answers). Please stick to the 20-minute slot, as people may jump from session to session to catch up on different talks. Having a predictable time slot is very important.
We will provide a laptop connected to the session room’s projector. Your uploaded slides will be pre-loaded to the laptop. If you have any last-minute changes for your slides, please remember to bring a USB/thumb drive with your slides pre-loaded. On the day of your session, please copy your latest slides to the laptop ahead of the session (and coordinate with your session chair). For those assigned to the Monday afternoon sessions, as there are two segments of two consecutive sessions, please upload your slides during the lunch/coffee breaks. You won’t be able to upload your slides when the previous session just ended.
We will use the conference-provided laptop to ensure a smooth projecting experience. Let’s be mindful of this practice as it would be very frustrating for attendees to see the struggles of speakers/session chairs to get the slides projected during the assigned short 20-minute presentation time slot.
All speakers must prepare a poster 42 inches tall x 36 inches wide to be presented in the poster sessions. The poster sessions are hosted inside the various breakout rooms, and your poster will be hosted in the same room as your technical session. The poster sessions will be organized as follows:
- The poster sessions will be divided into daily morning and afternoon sessions.
- For the 2-hour session, there will be 20 minutes at the end reserved for the poster session.
- For the 1.5-hour session, there will be 10 minutes at the end of your session reserved for the poster session.
- Depending on the number of sessions your room will have in the morning or in the afternoon, those poster session times will be combined.
- Please stand by your poster during the assigned morning or afternoon poster sessions.
- If you have asked someone else to present your paper on your behalf (and you should have received the agreement from the TPC Chair), please ask your replacement to perform the same responsibility for the poster sessions.
In other words, in addition to presentations, on that same half-day (morning or afternoon, depending on your assigned session time), speakers are given additional time slots after each session to interact with attendees throughout the poster sessions.
Here is an example to illustrate how the poster sessions work. Assume that the speaker’s paper is assigned in a morning session (say Tuesday morning’s session from 10:30 – 12:30). There are two sessions in that morning, one from 8:00 to 10 and the other one from 10:30 – 12:30. Since both are 2-hour sessions, we have allocated 20 minutes at the end of each 2-hour session for posters (for the 1.5-hour sessions, 10 minutes are allocated for posters). Here is what the speakers need to do:
- In the morning, before the earliest session starts (i.e., before 8:00 a.m. in this example), all speakers for those two morning sessions in the same room must put posters in their assigned session rooms. All posters will be put on the session room’s walls using painter's tape. We will provide a roll of painter’s tapes in each room.
- That morning, the speakers need to stand by their posters at the allocated poster sessions (i.e., from 9:40 – 10 a.m. for the first session and 12:10 – 12:30 for the second session) to answer questions from attendees. In other words, speakers from the 2nd session will also need to stand by the 1st session’s poster segment (even though you may not have presented your talk yet).
- At the end of the morning sessions (i.e., 12:30), the speakers must take down their posters so that the same space can be used for the afternoon’s poster sessions.
You can use the same example to extend it to the other days’ morning or afternoon poster sessions. Since each day’s program is slightly different, please use the example above to figure out what needs to be done for the poster session. A detailed table is shown below as well.

Though the schedule is a bit complex, I hope the poster session will help amplify your work’s impact and increase the conference’s experience for all.
On the day of your session, all speakers, please attend the morning Speaker’s Breakfast session from 7 – 8 a.m. at Room Gallery III. This is also an opportunity to meet with your session chairs and fellow speakers. It may be a good idea to reach out to your session chairs beforehand to share your respective bios so they can introduce you properly.
