Student Scholar Program Grant

Student Travel Grant Information

What is the ICCAD Student Scholar Program?
ICCAD recognizes that students presenting research and/or participating in student activities at our conference is an important aspect of his/her professional, educational, and research development. Further, student involvement in our conferences is fundamental to our development as a research community. This Program provides a mechanism to allow more students with a demonstrated financial need to attend our conferences. The ICCAD Scholar Program is intended to enable students who lack other support opportunities to attend ICCAD conferences to participate in activities such as:

  • Presenting a paper
  • CADathlon
  • IC/CAD contest
  • SRC
  • Joining the job fair

Students are expected to apply for this program if interested. Successful applicants will receive a provisional grant, dependent on their participation in one or more of the above student activities at the conference.

What does this grant cover?
The ICCAD Scholar Program provides need-based financial assistance to students who want to participate at ICCAD. Each award consists of reimbursements of various amounts, depending on many factors (e.g., traveling expenses), but will not exceed $1,000 USD. The awards will go through the ICCAD Travel Grant System to partially cover conference registration and travel expenses, including airfare (economy flights only), accommodation, subsistence, and other expenses necessary for attending the conference. Complimentary registration is not provided as part of the grant but can be covered by the grant.

Who is eligible?
The grant is for students who hope to participate in student activities at ICCAD and/or students who plan to present an accepted paper. The paper in question may have other co-authors who don’t need to be students. It is mandatory that the student is involved in presenting the work. Other eligibility requirements are that:

  • The student cannot attend without the support provided by this Program (as attested to by a letter from the student’s advisor)
  • Only one student per paper can apply.
  • An applicant is eligible to receive only one such grant.
  • Preference will be given to first-time attendees over repeat attendees of the conference.
  • Preference will be given to Ph.D. students unless exceptional circumstances.
  • The applicant must be a student, ACM, and/or IEEE member at the time of application.
  • An applicant participating in more student activities will be more likely to be selected.

Evaluation Committee
The ICCAD Student Scholar Program (SSP) committee will make the selection and seek approval from the ICCAD Executive Committee (EC). The ICCAD SSP committee includes Evangeline Young, Tsung-Yi Ho, Yiyu Shi, Yu-Guang Chen, Debjit Pal, and Jeff Zhang. The ICCAD EC are currently Evangeline Young, Tulika Mitra, Jinjun Xiong, Robert Wille, Deming Chen, Ismail Bustany, Tsung-Yi Ho, Ulf Schlichtmann, Yiyu Shi, Wei Zhang and Mark Ren. Real and apparent conflicts of interest between committee members and applicants will be managed to ensure the integrity of this program.

Evaluation criteria
Members of the SSP committee will review applications. The evaluation criteria include the student’s need and lack of alternatives, the opportunity for the attendee to improve the diversity of the conference, and the benefits to the student of attending the conference.

Application Required Documents

  • Current Resume/CV
  • Letter of Support
    • A letter from the student’s advisor, department, or program chair is mandatory on official letterhead. The letter must affirm that the student requires support to attend the conference and that no other sources of support are available. Other background material — where the student is in their research, particular benefits to the student of attending the conference, etc. — will strengthen the application. The letter must be in the form of a pdf.
  • Application Deadlines
    • October 10th, 2023 (Round 2)

Accepted Applications
If an application is accepted, it means that the applicant will receive support to attend the conference. If the student has a submission accepted to ICCAD 2023 and plans to present, or they plan to participate in other student activities at the conference, a provisionally accepted application becomes fully accepted once the paper has been officially “accepted” in the submission system and notifications have been sent to the authors notifying them of their acceptance, or the organizers officially confirmed the applicant’s participation in the student activities.
ICCAD will issue reimbursements for travel costs to the conference. ICCAD Student Scholar Program grants, which are given as reimbursement, may be considered taxable income. Specific questions regarding the taxation of any reimbursement and personal tax liability should be referred to your local tax authority. As such, ACM and IEEE cannot respond to questions regarding tax issues.

Recipients will receive this ICCAD grant post-conference if the following criteria are met:

  1. The recipient must register online & pay all necessary fees related to registration
  2. The recipient must attend ICCAD 2023 in person in San Francisco, California (October 29th – November 2, 2023)
